At AnyVisa we are committed to providing our customers with excellent service. As part of this commitment, we take the trust our customers place in us very seriously. We recognise that it is our responsibility to protect your privacy and to inform you of our information collection practices through our privacy policy. This policy covers the following topics:

What information we collect
When you use our services, we may collect your personal information such as your name and contact details to be able to provide you with the service. Whenever we handle a visa, passport or document legalisation service, we may collect such personal information as your passport and nationality details, work/family/education background, and other data as required by the issuing authorities, e.g. consulates, passport offices.
We only collect the information that is absolutely required to provide you with the service requested by you.
Why we collect the information and how we use it
The information you provide us with when placing an order with us is used for the following purposes:
- Facilitation of the service you require — obtain your visa, passport, legalisation, etc. (legal basis: performance of a contract with you)
- Improvement of our service and gaining market insights for marketing purposes (legal basis: our legitimate interest in improving the service, balanced against your rights — or your consent, where marketing communications require it)
- Notifying you of your order status, visa/passport expiry, changes to visa policy, and updates on our services, whenever consent to contact is provided (legal basis: consent, and/or performance of a contract for order-status notifications)
- Preventing fraud and keeping our systems secure (legal basis: our legitimate interest and, where applicable, our legal obligations)
If you do not provide us the required information and/or consent to use it as required, we are not able to facilitate your order in part or in full.
How we use AI to review your documents
When you upload a document as part of your application (for example, a passport photo, bank statement, or proof of accommodation), AnyVisa uses an automated AI system — currently Google's Gemini AI, accessed through Google's API — to perform an initial check of that document against the requirements for your destination and the purpose of your trip. This automated check flags whether a document appears to meet requirements, may need a closer look, or clearly does not, and gives an initial explanation of why.
This AI check is a screening aid, not a final decision. Any document the AI flags as needing review or as failing is reviewed by a member of our team, who can confirm or override the AI's initial assessment. AnyVisa does not decide whether a visa is granted — that decision is made solely by the relevant embassy or consulate. The AI check exists to help catch problems with your paperwork before it's submitted, not to replace either our staff's judgement or the consulate's decision.
Because this check is carried out using Google's Gemini API, the document you upload, together with limited trip details (such as destination, purpose, and travel dates), is sent to Google's servers for processing. This may involve your data being processed outside the UK/EEA; this transfer is made under Google's own data protection terms for this API service. Google has confirmed it does not use data submitted through this API to train its models. If you would prefer a specific document not to be processed by this AI tool and to go straight to manual review instead, contact us at gdpr@anyvisa.co.uk and we will accommodate this.
Who we share your information with and why
We may share your personal information with the following third parties for the following purposes:
- With consulates/visa centres, courier/logistics companies, invitation/visa approval providers, translators, solicitors/public notaries/legalisation offices as required to facilitate your order
- With companies that provide services to assist us with our business activities in visa and immigration request execution
- With Google, to run the automated AI check on documents you upload, as described above under "How we use AI to review your documents"
- With Resend, our email delivery provider, solely to send you account, application status, and appointment notifications. Resend is a US-based provider; sending you an email through them may involve your email address being processed outside the UK/EEA, under Resend's own data protection terms
- With public authorities as required by law in response to requests for the purpose of national security or law enforcement
- With the person who handles your application on your behalf — for example a group order for a team of applicants, or a personal assistant acting on your behalf — where they are the ones providing us with the required personal information
In the event we acquire or sell a business unit, we may share personal information stored by that unit for the purposes outlined in this policy.
What we will never do to your information
We do not sell your personal information to any third parties. Additionally, we will not share the information with any third party, except as otherwise set forth in this policy.
Your rights towards the information we hold about you
The right to access the information we hold on you. You have the right to access the information we hold on you. Due to the sensitivity of the information to be disclosed, we can release such data upon your personal appearance at our office with a valid government-issued ID. Once your identity is validated, we will release all the information we hold on you within 30 days, including the day of the request. To arrange a visit, please email gdpr@anyvisa.co.uk.
The right to amend the information we hold about you. If you find that the information we hold on you is inaccurate, please email gdpr@anyvisa.co.uk explaining what is incorrect and we will process the necessary amendments.
The right to erasure of the information we hold about you. If you wish us to delete your personal information from our systems, please contact us. We will erase any data as long as we are legally allowed to according to the laws of the country where we are based. Once a request is received, we will acknowledge receipt, may need to verify your identity, review the request, and either (a) erase your information and notify you, or (b) explain why we cannot do so.
The right to restrict processing of the information we hold about you. When placing an order with us you can choose for your information not to be used for marketing purposes — our order forms have relevant options for you to select.
Your rights regarding the automated AI document check. You may ask for any document to be reviewed manually by a member of our team instead of, or in addition to, the automated AI check, and you may ask us to explain the reasoning behind any AI-generated assessment of your document. Contact gdpr@anyvisa.co.uk to exercise this right.
How long we keep your information
We keep your personal information for as long as necessary to provide you with the service, and afterwards for as long as we are required or permitted to by law. As a general rule:
- Application and order records (including documents submitted as part of your visa application) are kept for 6 years after your order is completed, in line with our obligations around financial record-keeping and to be able to assist you with any follow-up questions about a past application
- Account information (name, email, login details) is kept for as long as your account remains active, and deleted within 90 days of a verified deletion request or account closure, unless we are required to keep specific records for longer as set out above
- Marketing preferences and consent records are kept until you withdraw consent or unsubscribe, plus a short period afterwards to evidence that we honoured your request
Where we no longer need personal information for these purposes, we delete it or anonymise it so it can no longer be linked back to you.
Cookies
This website uses one cookie, set when you log in to your AnyVisa account:
- av_session — keeps you logged in between visits. It is strictly necessary for the account/dashboard area of the site to function, lasts 7 days, and is not used for advertising, analytics, or tracking. Because it is strictly necessary, UK/EU cookie law does not require us to ask your consent to set it — but we're telling you about it here for transparency.
We do not currently use analytics, advertising, or tracking cookies on this website. If that changes in future, we will update this policy and show a cookie consent banner requesting your permission before any non-essential cookie is set, as required by law.
How we protect the information we hold about you
- Our employees receive annual training and periodic bulletins regarding good security practices
- We employ physical protection measures to ensure the safety of our paper and digital archives storing your personal information
- We utilise a combination of software and devices to protect our network from would-be intruders
Complaints to governing authorities
If you consider that we have breached your rights under GDPR you may complain to the data protection authority in the country in which you reside, or to the lead supervisory authority at ico.org.uk.
Changes to this policy we may make
AnyVisa reserves the right, at any time, to modify this policy. If we make revisions that change the way we collect, use, or share personal information, we will post those changes here. You should review this page periodically to keep up to date on our current policies and practices.
